Cancellation & Refund Policy

This Cancellation & Refund Policy explains when a booking made through AVIOR can be cancelled, when a refund applies, and how refund requests and disputes are handled. AVIOR is operated by Amylia Aviation Technology Inc. or the AVIOR entity identified at checkout.

General principle

Simulator capacity and instructor time are time-specific inventory. As a general principle, once a booking is confirmed, customer-initiated cancellations are non-refundable unless the booking page expressly provides a more flexible rule or mandatory law requires otherwise.

AVIOR's standing cancellation rule

AVIOR applies the following more flexible rule to all bookings made through the platform, unless the booking page states otherwise:

  • More than 48 hours before session start — you may cancel from your account and receive a full refund to your original payment method.
  • Within 48 hours of session start — the booking is non-refundable.

This rule is the one applied by the platform when you cancel a booking from your account.

Cancellation and refund rules

4.2 User or Customer Cancellation

Where a pilot, trainee, airline or other customer cancels for personal schedule changes, travel problems, visa issues, illness, documentation issues, employer changes or other reasons not attributable to AVIOR or the Provider, the booking is generally non-refundable unless the specific booking conditions expressly state otherwise.

This clause is subject to AVIOR's standing cancellation rule above: a cancellation submitted more than 48 hours before session start receives a full refund regardless of the reason. This clause governs cancellations within 48 hours of session start, and any case where a specific booking's terms displace the standing rule.

4.3 Provider Cancellation

If the Provider cancels or cannot deliver a confirmed service for reasons attributable to the Provider, the customer is generally eligible for a full refund of the affected AVIOR-controlled booking amount or may accept an approved reschedule or credit instead.

4.4 AVIOR Platform Error

If a confirmed transaction cannot be completed because of a material AVIOR platform-side error that is not caused by the customer or Provider, AVIOR will refund the eligible AVIOR-controlled amount or provide an agreed correction, reschedule or credit.

4.5 Refund to Original Method

Approved refunds will normally be returned to the original payment method where technically and legally possible. Processing time depends on the payment processor, card network and financial institution.

4.6 Non-Refundable Third-Party Costs

Airfare, hotels, visas, immigration fees, ground transportation, meals, medical examinations, licence fees, regulator fees, exam fees, document translations, courier charges and other third-party costs are not automatically reimbursable by AVIOR.

4.7 Weather, Maintenance and Safety

Where weather, simulator maintenance, equipment unserviceability, safety concerns, airside restrictions or regulatory requirements prevent performance, AVIOR and the Provider will determine whether the event is Provider-attributable, external/force majeure, or otherwise covered by the specific booking terms. The remedy may be rescheduling, credit or refund depending on the circumstances and mandatory law.

4.8 Partial Performance

If a session is materially shortened or partly delivered, the remedy will be assessed based on the unused portion, cause, Provider rules, operational facts and applicable law. A minor delay or non-material variation does not automatically create a full-refund right.

4.9 Rescheduling

Any rescheduling right is subject to availability, Provider approval, pricing differences and the specific booking conditions. A rescheduled booking may retain the original cancellation restrictions unless expressly stated otherwise.

4.10 Credits

Where a refund is not required but a credit is offered, the credit may be subject to an expiry period, currency, Provider, service type or account restrictions disclosed at issuance.

4.11 Refund Requests

Refund requests should be submitted through the official AVIOR support channel with booking number, payer identity, reason, relevant evidence and requested resolution. AVIOR may verify facts with the Provider before deciding.

4.12 Chargebacks and Disputes

Customers should first use the AVIOR dispute process before initiating an unsupported chargeback. AVIOR may provide transaction records, confirmations, cancellation records and Provider evidence to payment networks where lawful.

Refund decision matrix

This matrix describes outcomes after AVIOR's standing 48-hour rule above has been applied — it governs cancellations within the 48-hour window and scenarios not initiated by the customer. A customer who cancels more than 48 hours before session start receives a full refund under the standing rule above regardless of reason, including the "Customer changes plan" and "Visa/travel issue" rows below.
